Job Purpose

Manage office space and facilities management contractors under TFM agreement performing work in support of operations at BNPP assigned owner permanent facilities outside the restricted area, under teslam scope and area of responsibilities.

Key Activities, Responsibility & Accountability

Office Space
•Supervise office workstations and seating, coordinate physical relocation of employees and update seating layout in order to ensure appropriate office layout management;
•Maintain log for stationery supplies and office's cabinet keys;
•Overview cleaning and pest control work via arrangements of necessary passes, entries and supplies;
•Review and coordinate relocation requests and prepare plans;
•Manage PPE stock, conduct periodic checks to ensure its not damaged; perform monthly inventory and re-order stock when needed to ensure sufficient stocks available at all the time;
•Distribute PPE to requestors, visitors, guests and business as usual usage;
•Coordinate Office Pantries Operations, ensure all equipment functioning and pantries have necessary stock of kitchenware;

Administrative Support
•Coordinate with suppliers and contractors, follow up on work completions, review and confirm service/product delivery as per invoice, initiate Release/GRN for supplier's invoice payments;
•Overview payments to suppliers, maintain invoices files and agreements documentation;
•Maintain records for each Agreement (PO) work stream and supplier/consultant;
•Renew Agreements (PO) when required to ensure to overdue agreements;
•Draft Scope of Work for new tenders and change order with existing and new suppliers / service providers and contractors;
•Report regularly to Head of Hospitality and Community Management on all findings, feedback, suggestion on service streams provided by teslam at site;
•Coordinate and follow up with all stakeholders and department as needed PSC, EICT, Security, HSE, etc.
•Prepare purchase requisitions and follow up on approvals;
•Maintain professional relationship with vendors and contractors responsible for providing transportation services and build high levels of trust and understanding with key internal and external stakeholders, to promote full compliance with regulations and promote broader understanding of the corporate interests and practices;

HSE, Security & Continuity of Operations
•Take personal responsibility for safety; follow company HSE policies, procedures and instructions;
•Report any situation than could present a hazard; un intentional or reckless interfere with or misuse at workplace that may affect the interest of health, safety, welfare or protection of the environment;
•Follow all relevant Security policies, procedures and instructions to ensure security compliance in all aspects of work, by applying them on self, others and Corporate assets;
•Ensure compliance with corporate requirements for adherence to policies, procedures and instructions relate to Crisis Management and Business Continuity in order to continue mission-critical activities;
