Project Coordinator

Job Purpose

Execute and maintain the technical and financial correspondences, agreements, actions, deliverables and entries in all the relevant software systems. Provide administrative support to all the Maintenance (MNT), Site Projects (PRJ), Refuel and Turbine Services and Engineering (ENG) Functions, as well as support schedule preparation and arrangement of contractor logistics.

Project Management
Responsibilities and Accountabilities:
•Verify contractual compliance to support operating excellence, cleanliness and safety.
•Coordinate the smooth flow of cross functional project integration to ensure projects are supported and communicated seamlessly.
•File and track all documents, communications, emails, correspondence for contractor-led projects to ensure end-to-end documentation.
•Coordinate with contractors and Information, Communications and Technology (ICT) to develop an incident reporting system so that incidents raised by customers may be tracked and trended.
•Develop and implement a warranty tracking plan for all equipment including the tracking of all warranty dates in the appropriate system for any products, to keep account of active and inactive warranties.
•Develop small project documentation from initiation to completion including report, schedule, letters, provide tracking and accountability for these projects.
•Coordinate actively with contractors to identify maintenance gaps and needs.
•Liaise with Maintenance staff and interface with Procurement and Supply Chain (PSC) in tracking and managing purchase request process, contracts, and statuses to ensure alignment.
•Liaise with Accounts Payable in the Finance function (FIN) to ensure payment for services rendered and to mitigate any related issues.

The incumbent is expected to perform standard activities as per attachments 4 & 5 in the Job Description procedure (relating to Health, Safety and Environment, Security and Business Continuity, People Management, Excellence and Quality Management




•2 years of relevant experience.

Or equivalent as stated in the Job Description Procedure (HR-PRC-0004).

•Bachelor's degree in Business Management or Accounting.
•4 years' experience in coordination of information with soft skills and hard skills.
